See how much of your bookable time is actually booked — in total or broken down by calendars, calendar groups and customer groups.

Widgets: Occupancy rate

The occupancy rate tells you how much of your bookable time is actually booked. It is one of the most direct measures of whether the calendar is being used.

Booked time is calculated from all bookings - both customer bookings and internal bookings. A slot you enter in the calendar yourself therefore counts as booked.

There are seven occupancy rate widgets. One shows the figure as a pie chart for the business as a whole, and six show it as a table, where you can compare across.


First choose how the figure is to be displayed:

  • Occupancy rate: a single pie chart with booked and unbooked time. Can be limited by employee.
  • Occupancy rate per calendar, per calendar group and per customer group: tables with one row per calendar, group or customer group. All of them can be limited by customer group, calendar and calendar group.

The tables are the most useful if you want to see who is busy and who has gaps in the calendar.


The table widgets come in two versions that look almost identical - and they produce different figures:

  • Occupancy rate per calendar (table) calculates on bookable work types including overtime.
  • Occupancy rate for work types per calendar (table) calculates on work types where overtime is not included.

The same applies to the versions per calendar group and per customer group. If you have employees who regularly work overtime, the two widgets will show noticeably different percentages for the same period. Choose deliberately, and state in the widget heading which version it is, so the figure is not misread on a dashboard.

All six table widgets require work types to be enabled. If they are not, the widget cannot calculate occupancy.
