Contact customer

You can manually send an e-mail or SMS to a specific customer, an entire class or waiting list. This could be used if an employee fell ill, or if you want to alert a class to bring something for the appointment (see  Class and Course Booking for more information about this type of booking).

In the daily and weekly view, all customer bookings contain a letter symbol. If you press this symbol (whether the booking is a class booking or a booking made by a single customer), you will be transferred to the following page.

At the top of this page, you can choose whether to send an e-mail or a SMS to the customer.

Send e-mail
If you choose to send an e-mail, you can insert a standard e-mail that contains either:

  • A confirmation of a booking.
  • A confirmation of a cancellation.
  • A confirmation of a change.
  • The customer's password.

Press ‘Retrieve' and the text and subject of the standard e-mail is inserted. Tick the desired recipient(s) and press 'Send message'. The e-mail has now been sent!

Please note! You can change the content of the specific e-mail in the text space. You can also change the content of the standard e-mail generally under the menu item ‘Settings' -> 'Texts'. 

You also have the option of sending a test e-mail, for instance to your own e-mail address, to see how the e-mail service works. Enter the desired e-mail address and press ‘Send test'. If you press ‘Save test', the content of the e-mail is saved as a template.
 
You can create and save templates that can be used as your own standard e-mails. You can simply retrieve and send them whenever you want. This could be useful if you often send the same type of e-mail to your customers. In order to create a template, you have to enter the content and subject of the e-mail, and name the template - read how to create the templates here.

Please note! You can retrieve, change, and delete a template at any time by choosing the desired template in the drop-down list under 'Choose template' and pressing the button, containing the name of the desired action.

Remember to press ‘Send message' in order to send the e-mail!

Send SMS
If you want to send a SMS to the customer, tick the box ‘Send SMS'. You can choose to send a standard SMS to the customer containing either a confirmation of a booking or the customer's password for online booking. When you have chosen the desired SMS, press 'Retrieve'. The standard text is now inserted in the text space.

Please note! You can change the standard text under the menu item 'Settings' -> 'Texts'.

If you do not want to send a standard SMS, you can write the SMS yourself in the text space. Underneath this space you can see how many characters you have written, and how many SMSes the text occupies. Tick the desired recipient(s) and press ‘Send message'. The SMS has now been sent!
 
Please note! You can only send SMSes when the SMS Add-On has been activated. The Add-On is free, and you only pay for the SMSes you send.
