Guides - Online payment for events

Charge for your events and for add-ons such as accommodation, dinner or equipment rental when participants sign up.

Online payment for events

With online payment for your events, participants pay when they sign up. You can charge for the event itself and for add-ons such as accommodation, dinner or equipment rental, and you can limit how many participants can choose each add-on.

What can you use it for?

  • A course or workshop where participants pay when they sign up.
  • Accommodation for a seminar, where participants choose between a single and a double room, and only a certain number of rooms are available.
  • Equipment rental, e.g. kayaks or bikes, where only a certain number are available.
  • Dinner as an add-on, where participants state how many extra guests they are bringing.
  • A deposit at sign-up and the rest of the amount later.

Get started

This requires that you have activated online payment (see Activate online payment). You choose which payment types participants can use under Event settings > Online payment.

Go to 'Events', and click 'Edit' next to the event.

Payment for the event itself

Open the 'Online payment' tab.

(1) Turn on 'Activate online payment'.

(2) Click 'Create or search for item', and create a new item or choose an existing one. The item is charged per participant. When the event is linked to an item, you can open the item with 'Go to edit item' or remove it with 'Remove link to item'. You can also charge for selected signup fields (see 'Add-ons with payment' below).

(3) Under 'Price' you can see and edit the price including VAT.

(4) Turn on 'Postpone the payment' if participants can edit or delete their signup, and the payment should only be made when they no longer can. You choose between:

  • 'No, the payment must be made when the customer signs up.'
  • 'Yes, postpone the payment until the customer can no longer edit / unsubscribe the signup.'
  • 'Let the customer make the choice at the signup.'

(5) Turn on 'Charge deposit' if the participant should pay a deposit at sign-up and the rest later (see below).

You cannot both postpone the payment and charge a deposit. When you turn one on, the other disappears.

Click 'Update' to save.

Charge deposit

When you have turned on 'Charge deposit':

(1) Click 'Create or search for item' next to 'Deposit item', and create or choose the item that is the deposit.

(2) Under 'Rest payment date' you choose when the rest of the amount must be paid.

Add-ons with payment

You can charge for the add-ons the participant chooses in the signup form, e.g. with fields of the type:

  • 'Checkbox': one add-on at one price, e.g. kayak rental.
  • 'Drop-down': several options with a price each, e.g. a single or a double room.
  • 'Tal' (number): the participant enters a quantity, and the price is multiplied by it, e.g. extra dinner guests.

Go to the 'Signup spaces' tab on the event. If the event has its own field list ('Field list only for this event'), click 'Create field'. Otherwise, edit the field list with 'Edit fieldlist'. Read more about the fields in Signup fields.

On the field:

(1) Turn on 'Activate payment' next to 'This choice requires payment'.

(2) Under 'Settlement' you choose whether the price is paid once ('Settle once') or for each participant ('Settle per signup'). This matters when participants can sign up several people at once: If a participant signs up two people, an add-on with 'Settle per signup' is paid twice.

(3) On a 'Drop-down' field, you create the options under 'Drop-down options': Enter the name in 'Create new', and click 'Update'.

(4) In the 'Item number' column, search for the item the option costs. Leave it empty for an option that is free, e.g. 'No overnight stay'.

(5) Click 'Edit' to create a new item for the option, limit the number or add a description (see below).

Turn on 'Activate click choices' next to 'Show options as click choices' if the options should be shown as boxes with name, description and price instead of a drop-down.

On a 'Checkbox' or 'Tal' field, you link the item directly to the field with 'Create new item' or by searching for an existing item number. On a 'Tal' field, you can also turn on 'Activate limited amount' and enter a 'Count', and with 'Show plus and minus buttons' the participant gets buttons to choose the quantity.

Limit the number of an option

Click 'Edit' next to the option.

(1) 'Option name' is the name the participant sees.

(2) Under 'Item no' you link the item. Click 'Create new item' to create a new one.

(3) Turn on 'Activate limited amount' if there is only a certain number, e.g. rooms or kayaks.

(4) Under 'Count' you enter how many there are. The participant can see how many are left, and the number goes down as participants choose the option.

(5) Under 'Description' you can write more about the option, e.g. where the accommodation is. The description is shown when the options are shown as click choices.

Click 'Update' to save.

What the participant sees

(1) For an option with a price, the participant sees the price and how many are left.

(2) For a checkbox, the price is shown after the text.

(3) For a number field, the participant sees how many are left and the price per item.

(4) 'Basket' adds up the price of the event and the add-ons. The participant then chooses a payment type and clicks 'Sign up'.

On the order under 'Online order', the event and each add-on are shown as a line with item number, quantity and price.

When the participant has paid, you will find the payment under 'Online order'. Read in Online order how to capture the money, and how Gecko can do it automatically.
